In this newly created Equity Specialist role, you will be responsible for administering Equity Stock Plan activities across our growing organization. Collaborate with key internal and external stakeholders including HR, Finance, Legal, Brokers, and Transfer Agent to make continuous process improvements.

You'll be a key contributor to the daily operations of the Payroll & Equity team by ensuring timeliness, accuracy, compliance, and data integrity while adhering to company policies and practices. In addition to the following primary responsibilities, you will also have opportunities to participate in projects and perform analyses as needed.

  • Process employee stock plan transactions, including grants, cancellations, options exercises, RSU releases, and ESPP enrollment and purchases via EEO

  • Maintain company and employee data using the E*Trade platform

  • Partner with Payroll team to provide equity-related elements for payroll and W2 reporting

  • Partner with internal Legal, HR, Finance, and other teams for all areas involving compensation and benefits to maintain and improve current processes and procedures relating to equity administration

  • Administer and maintain all equity procedures required to keep up to date with tax jurisdiction reporting and regulatory compliance

  • Maintain opening and closing of the company’s trading window via E*Trade systems and process employee trade approvals, per insider trading policy and schedules as needed

  • Perform monthly/quarterly/annual reconciliation including related journal entries, receivable of option proceeds, and perform auditing procedures to ensure accuracy

  • Provide excellent customer service to employees, management, and business partners

  • Educate and train employees on stock plan & equity practices as needed

  • Collect and prepare data on stock plan activities and other data for internal and external reporting

  • Maintain all SOX controls related to equity plan administration

About You:

If you have 5+ years' experience in Stock Plan Administration (ideally Equity Edge Online) and a strong understanding of Stock Plan Administration procedures and practices, this could be the role for you! Additional requirements for this role include:

  • Proven experience with Equity administration to deliver timely and accurate compensation for employees

  • BS/BA or equivalent experience preferred

  • Certified Equity Professional (CEP) preferred

  • Must have a strong understanding of wages and tax laws, including FLSA

  • Comprehensive understanding of equity administration concepts and related financial reporting principles

  • Experience with Internal Controls under Sarbanes-Oxley Act (SOX) relative to public companies

  • Ability to work effectively in a collaborative team environment and across all levels of the organization

  • Must be self-motivated and detail-oriented with exceptional organizational, quantitative, and analytical skills

  • Excellent interpersonal and communication skills, both verbal and written

  • Proficiency in MS Office Suite, in particular, MS Word, Excel, and PowerPoint

  • Familiarity with Oracle Fusion is a plus

Meet your future team:

This role will report directly to the Associate Director, Equity and Payroll Administration. While we will be a small team of three, you will be joining a group of passionate individuals who genuinely enjoy working with one another. In addition to the Equity and Payroll team, you will have the opportunity to be a part of the larger financials team under the CFO, which is comprised of: Financial Reporting and Internal Controls, FP&A, Accounting, Procurement, IT, Investor Relations, Corporate Communications, and Facility Operations.
